The Email Cover Letter is Unique yet Traditional. Right out of the gate know that email cover letters are lighter than typical cover letters so plan on writing less but fretting more. A challenge of boiling down a person's work history and value into a few short sentences does surface.




What an email cover letter does not have?

  • No date required within the body ... email becomes date and time stamped once you send it.
  • No company name/address ... an email address placed into the TO line is all you need.
  • RE: [regarding tagline], not required ... it's replaced by an email subject line.

Email Subject Line
The subject line of your email is the modern version of the "RE:" found in traditional and fax cover letters. The pressure is on to write a subject line that captures the attention of the reader, however, while not exceeding about 65 characters (about what the eye sees). What you put in that area will determine whether your email is read, deleted, or archived.

When writing correspondence for clients, I often examine the person's career and determine two core mentionables that specify career field/position, uniqueness, or both. "Intl Business Development Exec; 20 years exp," for example. Or, "Intl Business Development; Italian/Japanese Speaking." In previous years mentioning an individual's language skills was more of a formality, but today an increasing number of companies are pursuing international markets for expansion, and with that, comes the need for employees who are multilingual.

So highlighting any language skills you possess can be a huge boost to your "employment value."

Another neat technique to consider when writing an email cover letter is by writing a tagline within the beginning section of the email that sums you up in about 5-15 words --- building from the email's subject line would be great. How about, "European & Asian Market Exec; $39MM New Revenue 2007/2008; Fortune 500 Clients."

Here we go ... here's what a sample email cover letter might look like:

Asian Market Exec; $39MM New Revenue 2007/2008; Fortune 500 Clients

Dear Mr. Frank:

Good morning, Mr. Frank. Currently searching, note my extensive years in executive level sales and marketing, along with the countless multimillion-dollar contracts ($110MM total) I've secured for my current Fortune 1000 employer. The bulk of my career has spanned throughout sales, marketing, corporate communications, advertising, and promotions, in fact. Brief overview of what you'll find in my attached resume:

* Established Japanese Sales office in 2007; currently generating $2.8MM in sales
* Integrated a new sales training program; now used companywide
* Generated a staggering $128MM in channel sales between 2005/2008

Let’s discuss opportunities for both of us. Call me at (xxx) xxx-xxxx.

Email Cover Letter Questions?

Does an email cover letter replace that of a traditional one? Yes, it likely does. Today, cover letters sent in tandem with the resume, along with a carefully written email, seems a bit much. How about taking a hybrid of your cover letter and reshaping it to a concise, yet effective email cover letter? An email cover letter can be just as effective, in my opinion. After all, when you design a cover letter it's intended to introduce your resume ... introduce you. Can an email cover letter do the same? I believe so.

Is there really a wrong way when handling an email cover sheet? Utilize a professional format, even when you're using a somewhat informal channel for delivery. Sometimes tempting to utilize a casual tone, or worse yet, speak inappropriately to those on the receiving end can have an affect. Also something else to consider is that some typed characters don't always reflect accurately when received on the other end. Should you be worried, forward a test email to yourself or family member so you can critique and correct for visual appeal. Limit yourself to avoid coming across as unprofessional.

What limits an email cover letter? Unlike a traditional cover letter, you're limited to about a screen shot when dealing with an email cover letter ... maybe 2-3 short paragraphs of text. Make the best use of such limited space by plucking key points out of your full-length cover letter. Just like a fax cover letter, or any job-search correspondence for that matter, it's always been questionable how many hiring agents and recruiters actually read those docs so brevity when handling email cover letters is a good rule of thumb.
